About HCB
HCB (Health Claims Bureau) is an occupational health company that collaborates with insurers, employee benefit consultants, and employers.
Occupational health focuses on protecting individuals and maintaining workforce productivity. Employers and income protection providers rely on HCB to avert or shorten work absences, mitigate insurance claims, and tangibly reduce overall claim costs through early clinical intervention.

Scope of Service
The contract focuses on supporting individuals with their mental health to help them remain in work or facilitate a smooth return to work.
-
Format: 1:1 sessions with Mindler therapists.
-
Session Allocation: Clients are pre-approved for up to 8 x 50-minute sessions.
-
Extensions: Additional sessions can be facilitated in coordination with HCB Case Managers if clinical need is established.

Client Onboarding & Access Journey
-
Claim Processing: All claims and referrals are managed by an HCB Case Manager, who coordinates with the employer and/or insurer.
-
Client Consultation: The Case Manager speaks directly with the client to gather background details regarding their situation.
-
Referral Transfer: With client consent, the Case Manager notifies Mindler's Customer Service team and provides a secure shared drive link containing the referral form.
-
Account Setup: Customer Service retrieves the referral form and attaches it to the client’s profile in Juvonno.
-
Session Booking:
-
HCB clients apply a designated promo code to redeem their 8 approved sessions.
-
Clients then schedule their initial session.
-
Note for Therapists: Ideally, the referral form will be attached in Juvonno prior to the first session, but if delayed, therapists should proceed with standard initial assessments and send outcome measure surveys as normal.
-

Identifying HCB Clients
To verify an HCB client:
-
Open the client's profile in Mindler Care.
-
Check the Codes section on the patient page.
-
Look for HCB listed in the Source field.

Requesting Additional Sessions
If a client requires therapy beyond the initial 8 sessions:
-
Submit Request in Juvonno: Complete the request form detailing:
-
The total number of additional sessions required to complete treatment.
-
The focus areas and clinical objectives for the remaining work.
-
-
Case Manager Review: The request is sent to the HCB Case Manager, who coordinates directly with the insurer and/or employer to seek funding approval.
-
Timing Recommendation: Submit the extension request around the 5th session (out of 8). This ensures that if the request is declined, several sessions remain to wrap up treatment appropriately.
-
Self-Funding Transition: If cover expires or additional funding is declined, clients can choose to continue therapy on a self-funding basis (paying directly via credit/debit card).
