Mindler B2B & Corporate Client Guidelines
Mindler Access Routes
Mindler clients can access services via three primary pathways:
-
D2C (Direct to Consumer): The client accesses the app directly and pays for sessions using a credit/debit card.
-
PMI (Private Medical Insurance): The client accesses care through their insurer (e.g., Vitality) using approved sessions. The billing team invoices the insurer following each completed session.
-
B2B (Business to Business): The client uses a promo code issued by a third party (e.g., their employer or a charity) to access services.

How to Check & Identify Payment Methods
To verify a client's payment pathway in Mindler Care:
-
Via the Client Account ("Codes" Section):
-
Log into the client's account in Mindler Care and click on Codes.
-
The Source and Code field will indicate whether the pathway is Vitality, Beder, or B2B.
-
View the total number of approved sessions alongside completed and scheduled sessions.
-
For Vitality clients, this section also displays the policy renewal date.
-
-
Via the Bookings List:
-
The bookings page features a Payment Methods column indicating Credit Card (D2C) or B2B.
-

Corporate Partner: Profitability
Starting 1st September 2025, employees of corporate partner Profitability can access Mindler services.

Core Details
-
Eligibility: Available strictly to Profitability staff members (non-transferable and not valid for non-employees).
-
Initial Offer: iCBT only, or up to 6 therapy sessions funded via a initial promo code issued directly by the client's HR department.
-
Identification Promo Code: ABILITY-SEPT2025 (valid for one year).

Requesting Additional Sessions (Clinical Need)
If there is a clinical requirement beyond the initial 6 sessions:
-
Clinicians should email Mindler Customer Support at support@mindler.co.uk with the client's User ID.
-
State the clinical rationale for requiring up to 6 additional sessions.
-
Customer Support will issue a new promo code directly to the client via In-App Direct Message (DM).
-
Co-Pay Model for Extension: This secondary code provides 50% off. The client pays half the session fee at the time of booking, and Mindler invoices the corporate employer for the remaining 50%.

B2B Operational Policies & Attendance Rules:

Cancellation and Rescheduling Policy
-
B2B codes are bound by standard self-funding policies.
-
Notice Period: Clients may cancel or reschedule free of charge up to 24 hours prior to the scheduled session start time.

Missed Sessions, Late Cancellations, & Incomplete Sessions
-
Non-Refundable / Non-Transferable: If a client cancels within 24 hours, misses a session, or leaves a session incomplete, the session allowance is forfeited (non-refundable).
-
Invoicing: B2B clients are not sent separate invoices for missed or late-canceled sessions; instead, the session credit/code allowance is deducted/lost.

Code Expiry & Validity
-
All sessions must be booked while the provided code is actively valid.
-
Any unused session credits will be permanently lost once the code reaches its expiration date.
